A planning map and an architectural drawing are not interchangeable. The map establishes location, boundaries and geographic context; the architectural drawing explains the existing and proposed design.
They still need to agree. A council may raise a query when the red boundary, access, building position or site address changes between documents.

The map and architectural drawings should be coordinated around one agreed site and proposal.
What should remain consistent
Compare the documents for:
- Property address.
- Application site and red-line boundary.
- Access route and highway connection.
- Existing building footprint.
- Proposed extension or structure.
- Parking, turning and servicing areas.
- Drawing dates and revision references.
The architectural drawing can contain much more information than the planning map. Consistency does not mean that every line must appear on every sheet; it means the documents must describe the same proposal and land.
PDF or CAD?
PDF is often the practical final submission format. CAD is useful during design because it lets the professional work with editable layers and coordinate the map with other drawings.

The correct format depends on the person producing the drawing. Do not order an editable file simply because it sounds more technical.
The red line belongs in more than one place
The red application boundary may appear on the location plan, block plan, application form and ownership documents. If it changes during design, update each affected document.
For a householder extension, the boundary often follows the house, garden and relevant access rather than only the new footprint. For a larger development, it may include the operational site, access, parking, landscaping or other required land.
The map boundary and legal ownership are connected but different questions. Use the correct ownership information and notices when other people own land needed for the proposal.
Coordinate the scales
The location plan usually shows wider context at 1:1250 or 1:2500. The block or site plan usually shows closer detail at 1:500 or 1:200. Architectural plans may use yet another scale.
That is normal. The title block on each drawing should make its own scale and paper size clear. Do not enlarge one PDF and relabel it as another scale.
A reliable handoff process
If you are working with an architect or designer:
- Confirm the address and application description.
- Ask which map type and format they need.
- Agree the site boundary before preparing the drawing.
- Send the original PDF or CAD file without resizing it.
- Compare the finished drawing pack before submission.
- Update every affected document when the proposal changes.
Keep the original map file available so a revised drawing can be checked against the same base.
Common coordination failures
- The architect draws the proposal on a neighbouring property.
- The block plan includes a different red-line extent from the location plan.
- The access is shown on the drawing but omitted from the application site.
- A PDF is converted to an image and loses its scale or licence details.
- A design revision changes the footprint but not the map.
- The CAD base is supplied in a format the designer cannot use.
These are coordination problems, not necessarily mapping-data problems. Reviewing the complete pack before upload is usually quicker than correcting it after a validation query.
Final checklist
Before submission, put the location plan, block plan, application form and architectural drawings together. Confirm that the site, address, access and proposal agree. Check that each sheet has a clear scale and that the map outputs retain their planning-use information.

A good handover to the designer
Send the original map file with a short note that identifies the intended application boundary, map scale, paper size and any access or ownership issue that needs attention. If the designer receives only a compressed image copied from a document, they may unknowingly stretch it or lose the source information.
Ask the designer to preserve the map's proportions when placing it on a title sheet. If the map is resized for layout reasons, the stated scale must be updated or the plan should be issued at its original size. Keep the map's north point, scale bar and licensing information visible.
Compare by geometry, not appearance
Two pages can look similar while showing different geometry. Compare the position of the proposal relative to the side boundary, rear wall, driveway, gate and neighbouring building. For an extension, check the depth and side return. For an outbuilding, check the distance and orientation. For a new access, trace the route from the highway to the site.
If the architectural drawings are still changing, label the map as a base plan and hold the final submission check until the proposal is frozen. This avoids repeatedly editing a map that is being used to support a moving design.
Common handover questions
- Which boundary is the application boundary?
- Is any blue ownership land required?
- Does the proposal include access or parking work?
- Which features should be existing and which are proposed?
- Are there trees, walls or shared routes that need to remain visible?
- Will the final issue be PDF only, or is editable CAD needed?
Agree the spatial contract at the start
Before design begins, the team should agree which file is the reference for location, which survey controls dimensions and which drawing controls the application boundary. These are related, but they are not automatically the same document.

This “spatial contract” prevents a common failure: a designer traces an early PDF, another consultant uses survey coordinates and the final planning map retains a third version of the site edge.
Understand what OS data contributes
Ordnance Survey describes its OS Maps API as providing detailed mapping, including OS MasterMap Topography Layer, from national to building scale. That is an excellent contextual base. It does not remove the need to survey critical features, levels or recently changed structures.
If you receive DWG or DXF data, confirm units, coordinate reference system, origin and layer naming before importing it. Keep the original file untouched and reference it into the design model. If you receive PDF only, do not assume that tracing a screen image produces survey-grade geometry.
Coordinate revisions by change type
Not every design revision requires a new location plan. Use a simple impact test:
- Geometry change: does the building footprint, access, parking or works area move?
- Boundary change: does different land become necessary for the proposal?
- Context change: has a mapped building, road or important feature changed?
- Presentation change: is only a label, drawing number or layout being corrected?
The first three can affect planning maps or their annotations; the fourth may need only a controlled drawing revision. Record the decision so the team does not either ignore a meaningful change or repeatedly buy an unchanged base.
Legal and dimensional caution
HM Land Registry warns that most title plans show general boundaries rather than exact legal boundary lines. Keep title information on a clearly identified reference layer and do not quietly snap proposed work to the thickness of its red edging.
Likewise, a correctly scaled planning PDF supports communication but is not a substitute for site measurement. Where construction tolerances, party-wall matters or narrow clearances are important, commission and rely on the appropriate measured evidence.
Issue a coordinated set, not isolated drawings
Run an overlay or side-by-side comparison immediately before issue. Check north, building orientation, access, red line, key boundaries and proposed footprint. Then confirm that the application form and drawing register use the same site description and revision.
The Planning Portal’s plans-and-drawings guidance notes that the drawings required depend on the work and must meet quality standards. A coordinated set makes that quality visible: each document answers its own question and agrees with the others where their information overlaps.
Archive the issued background with the drawing set. If the base mapping or survey is later updated, record which drawings were re-coordinated rather than allowing a silent reference-file change to alter several sheets.
